ICENAVI DRIVE FIT · KEF PICK-UP
Get the car properly handed over before deciding how far to drive on night one
The scores consider pick-up address clarity, process time, vehicle-condition evidence, first-day buffer and alternatives when delays or shuttles go wrong. Recheck provider locations, opening hours, vehicle groups and terms for your dates.
Separate the arrival hall, off-airport address, shuttle area and key box before you leave; that gives the first drive a real starting point.
Allow for immigration, baggage, finding the provider, signing, checking the car, setting navigation and making the first exit.
Keep photographs of all four corners, glass, tyres, dashboard, mileage, fuel or charge level and equipment so the handover record is clear.
Find safe parking and supplies first. Add the Blue Lagoon or the South Coast only when the booking, roads and your energy all support it.
Save the contact method for flight delays, late-night opening, a missing shuttle and situations where you have no network connection.
Once the address, handover evidence and first stop are settled, you can judge whether the Blue Lagoon, Reykjavík or the South Coast is realistic.
There are four distinct pick-up arrangements
Treating “airport pick-up” as one single option is about as precise as saying that a hotel is “in Reykjavík” without giving an address. At KEF, some rental services are inside the arrivals area, while others operate from offices away from the terminal and require a shuttle or a specified transfer arrangement. The same provider name may lead to a different office or key-collection method depending on the date, vehicle group or booking channel. That is why no company should be assumed to have one permanent exit or pick-up route.
| Wording in the confirmation | What you actually do after arrival | The cost most easily missed | What to screenshot before departure |
|---|---|---|---|
| Arrival hall / terminal desk | Clear immigration and collect your luggage, then find the desk and join the queue inside the terminal | Document checks, the vehicle inspection and reorganising luggage | Desk name, opening hours and pick-up reference |
| Airport office / Blikavöllur and similar address | Follow the stated walking directions or reach the shuttle area before continuing to the office | Dragging luggage, finding the way, waiting for the shuttle and missing the final transfer | Full address, telephone number and shuttle pick-up location |
| Shuttle / Other buses | Identify the provider’s vehicle, meeting area and the next available shuttle | Re-establishing contact after a delayed flight and waiting with the whole group | Vehicle branding, shuttle instructions and the night-time contact method |
| Key box / self-service pick-up | Follow the provider’s key-collection procedure, find the parking space and complete the self-service paperwork | Not finding the car, running out of phone battery or failing to record its condition | Key-collection steps, parking-space number and emergency telephone number |
Put KEF on the real map: the terminal and the office are not the same blue dot
The map below uses locally stored OpenStreetMap tiles and marks the KEF terminal alongside Blikavöllur 3, publicly listed by Blue Car Rental, as a verified example. Showing both points on one map addresses a common misunderstanding: a search result that says “Keflavík Airport” does not mean every company completes its handover at the terminal entrance. For other providers, return to your own confirmation for the address, shuttle instructions and opening hours.
The most useful timeline starts while the car is still not yours
Your landing time is not the same as the time at which you can drive away. Put the process in your phone notes and leave enough room to repeat a step if necessary: clear immigration and collect your luggage first, then identify the desk or shuttle; after signing, do not rush to start the engine—photograph the body, tyres, glass, interior and dashboard; only then secure the luggage, enter the first safe stop into the navigation system and leave the airport. If one stage gets stuck, it is easier to deal with there than to carry the delay into your first attraction.
| Stage | Evidence that it is complete | Do not do this while it is incomplete |
|---|---|---|
| Arrivals area | You have found the correct provider or shuttle and know the next address | Ask everyone to take all the luggage out of the terminal first |
| Desk / office | The driver, insurance, fuel or charge level, deposit and road restrictions are clear in writing | Skip the terms or add cover simply because the queue is long |
| Beside the car | Photographs include all four corners, glass, tyres, dashboard, fuel or charge level and mileage | Assume that a small scratch has already been recorded |
| First departure | You have tested the key, lights, wipers, heating, navigation and first parking stop | Drive straight to the Blue Lagoon or begin a long southbound journey |
Vehicle inspection: use photographs to fix the record at handover
Do not take only one photograph of the front of the car. Follow the same sequence around all four corners, door edges, windscreen, visible roof areas, wheels and tyres, then photograph the mileage, fuel or charge level, warning lights, interior equipment and key. Keep the files in cloud storage or an offline album, and ask the desk to add any unlisted marks to the condition report. These steps will not change Icelandic wind or snow, but they can prevent an argument at return about whether a scratch was already there.
Your handover record should show the four corners, wheels, glass, visible underside, fuel or charge level and mileage in the same set of files as the contract and photographs. A close-up of one obvious mark does not prove that every other mark was already there.
If a warning light appears, a tyre is damaged or the contract does not match the vehicle, photograph it at the collection point and ask staff to add it to the record before you leave. Trying to supply the evidence after driving away makes the conversation harder.
For a hybrid or electric car, or a vehicle that requires a particular charging cable, also confirm the start-up procedure, charging or fuel requirements, cable and warning messages in person. A car having charge in the battery does not mean that you can ignore its energy needs for the day; the petrol and hybrid cost guide puts route, luggage and return conditions into the same calculation. With an electric car, continue to charging points and winter-range planning. Do not turn the maximum range stated on the rental page into a safety promise.
Before leaving KEF, run one test that is unglamorous but useful
Once you are in the driver’s seat, complete a short test while still parked: adjust the seat and mirrors, check the dipped headlights, wipers, heating, handbrake, reversing camera and key. Set the navigation for a first stop with parking and a toilet instead of making the most distant attraction your destination. In winter or after a late-night arrival, do not build “I will still feel fresh after collecting the car” into the plan. Fatigue, wind, poor visibility and an unfamiliar vehicle can arrive together once you leave the airport. If you need to keep the first night close to the terminal, the KEF early-flight accommodation guide covers hotel location, transfers and parking conditions.
Some travellers go straight to the Blue Lagoon after collecting the car. That can work when the booking time, roads and the rental company’s luggage arrangements all allow it. If you have not eaten, bought water or set up the vehicle, and you are already rushing along unfamiliar roads towards a non-refundable entry time, moving the Lagoon to the following day or cancelling is often the more sensible decision. The Blue Lagoon ticket and time-slot guide can help with that choice; a difference in ticket price cannot compensate for missing the morning you needed for the handover.
Ten questions to screenshot before pick-up
- Is my pick-up address inside the terminal, outside the airport, or reached by a specific shuttle?
- What will the provider do to hold the car or contact me if my flight is delayed?
- Do the opening hours and self-service eligibility apply to my arrival date?
- Are the driver, additional driver, credit-card and deposit requirements written in the confirmation?
- Does the booked vehicle group match the fuel or charging arrangement, boot space and road restrictions?
- Where are the restrictions for F-roads, gravel roads, tyres, glass and roadside assistance explained?
- How will the fuel or charge level, mileage and existing damage be recorded at pick-up?
- Have the key, charging cable, reflective vest, snow brush and child seat actually been handed over?
- Is there a first stop where we can park safely, get water and reorganise?
- If I am already tired after collecting the car, can I avoid a long drive on the first night, and is the accommodation cancellable?
ICENAVI · KEF PICK-UP DECISION
The best pick-up process leaves no unresolved question in the first stretch of road.
You need to know where the car is, who is responsible for the handover, what condition it is in and where you can stop next. When all four items can be checked on your phone, you can decide whether the route is ready for Vík, the Blue Lagoon or the longer drive to Jökulsárlón.
Which KEF pick-up details can change the shape of your first day?
Does a rental desk in the terminal mean that the car is collected inside the terminal?
Not necessarily. A provider may operate from the terminal, an off-airport office or a designated shuttle point. Use the address and opening hours in your confirmation to allow time for walking, waiting, signing and inspecting the car.
What should I photograph at pick-up?
Start with all four corners, windows, tyres, visible underside areas, mileage, fuel or charge level and dashboard warnings. Record each existing scratch in the handover report. In darkness or rain, use your phone’s light; do not rely only on a verbal explanation.
Can I follow the original route if I arrive in the early hours?
That depends on whether the provider offers late-night collection, a key box or a shuttle. If a delayed flight leaves you facing tired driving and a dark departure from the airport, staying near KEF or in Reykjanes is usually the steadier choice than forcing a long drive.
